Privacy Policy

Introduction

KUPHA Admin is an internal document, correspondence and task management system of the Kuwait Pharmaceutical Association, intended solely for the Association's staff and board members. This policy explains what data the app processes and how it is protected.

Data we collect

• Account data: name, email, phone number and role. Accounts are created by the Association's administration.
• Work content: documents, correspondence, tasks and letters uploaded by users in the course of their work, stored on the Association's servers.
• Push token: a technical device identifier used to deliver notifications, removed on sign-out.
• Usage records: an audit log of actions in the system (who did what, when) for governance purposes.

How we use data

Data is used exclusively to operate the system: signing in, showing documents and tasks according to each user's permissions, delivering notifications, and archiving correspondence. We show no ads, sell no data, and share nothing for marketing purposes.

Third-party services

• Firebase Cloud Messaging (Google): delivers push notifications to devices.
• Google Cloud Vision: extracts text from scanned documents (OCR) to make them searchable.

These services process data under Google's privacy policies and are used for no other purpose.

Security & retention

Access is restricted by a role-based permission system, and all actions are recorded in an audit log. Documents and correspondence are retained under the Association's archiving policies; official records are not deleted.

Your rights

Users may request access to or correction of their personal data through the Association's administration. Account deletion is performed by the Association's system administrator.
